Pro Tip: Select ONE means of communication with your family. This makes sure that all participating family members are kept in the loop. Long-distance family members feel that they are a part of the team. This goes a long way to reduce tensions and bitterness when some people feel left out.
I am a long-distance family member sharing in the care of our mom. I am the oldest of 5 siblings and live about 4 hours away from home. The other 4 siblings are local to our mother. The family text group has been great as even if I am not participating in something local that is going on, I am made aware of it. This keeps me in the loop and also keeps me from feeling left out.
I participate by doing long-distance types of help such as managing her medicare insurance, her oxygen supplies, participating on speaker phone for doctor appointments my sister (who is a Nurse Practitioner) can’t attend. My kids and I also participate by sending her food via Doordash, GrubHub or Uber Eats. Other things that can be done on the computer or phone we tackle as well.

Step-by-Step: Prep for the 45-Minute Family Caregiving Meeting Agenda & Script
To make this meeting go smoother it might be a good idea to hold a planning session ahead of time. We go into more depth on this topic in our Free Caregiver Meeting Agenda and Guide. During the planning session it is a good idea to make a list or chart on who is all participating on the caregiver team. On this list you can include:
- Name of Family Member
- What are they good at? We call this their “Zone of Genius”.
- What is their availability to help? Local or long distance.
- What days, times, hours per week or month are they available to help?
- Will you need outside help to fill in the gaps?
- Create a “shared” calendar and you can color code it for each family member.
- Establish your primary “communication” method such as Zoom, FaceTime, Snap, Text Group, Email, Facebook Family Group, Skype, phone conference call etc. Stick to one method to be consistent. Include everyone even on the little things.

1. Opening (5 minutes)
Welcome and gratitude check-in.
Script:
“Thank you all for making time today. Before we start, let’s each share one thing we’re grateful for this week.”
2. Review of Current Situation (10 minutes)
Quick updates on your loved one’s health, care needs, and any recent changes.
Script:
“Here’s what’s happened since our last meeting: Mom had a new medication added, and her physical therapy is going well.”
3. Main Discussion (20 minutes)
Focus on 1–2 priority topics (e.g., care schedules, medical appointments, finances).
Script:
“Today, let’s focus on how to divide up doctor visits and discuss options for in-home support.”
4. Action Items & Assignments (5 minutes)
Clearly outline next steps, responsibilities, and deadlines.
Script:
“Sarah will handle next week’s grocery run. John will call the insurance provider by Friday.”
5. Closing & Check-In (5 minutes)
Recap decisions, acknowledge efforts, and set the next meeting date.
Script:
“Thank you, everyone. Let’s meet again in two weeks. Please reach out if you have questions before then.”

- Stick to the agenda: Gently redirect side conversations.
- Respect time limits: End meetings at 45 minutes—no exceptions.
